At ReglaSOUL, we’re committed to offering transformative, hands-on learning experiences while working closely with local farmers, educators, communities, and partners. Because our programs involve significant advance planning and financial commitments, we maintain a strict cancellation and refund policy to ensure responsible planning for each cohort.
1. Enrollment Deposits & Program Fees
Program deposit vary per program, please see the following:
Farming + Sustainability Programs: A $300 enrollment deposit is required to secure your place. The deposit is non-refundable for participant-initiated cancellations and is applied toward the applicable program fee.
Caribbean Agroecology Intensive Course: A $500 enrollment deposit is required to secure your place. The deposit is non-refundable for participant-initiated cancellations and is applied toward the total program fee.
Remaining balances must be paid according to the payment schedule provided for each program. Failure to make a required payment by the stated deadline may result in the loss of your place without refund.
2. Participant Cancellations
Participant-initiated cancellations are not automatically eligible for a refund. All requests are reviewed on a case-by-case basis, and refunds are not guaranteed.
For cancellations submitted more than 60 days before the program start date, ReglaSOUL may approve a refund of up to 50% of eligible program fees paid, excluding the non-refundable enrollment deposit and applicable cancellation fee. Cancellations submitted 60 days or fewer before the program start date are generally non-refundable, although exceptional circumstances may be considered at ReglaSOUL’s discretion.
Because of the current logistical and economic conditions of operating in Cuba, less flexibility is available for participant-initiated cancellations than may be typical for other educational, travel, or immersive programs. Supporting documentation is encouraged when a cancellation is due to circumstances beyond the participant’s control, but documentation does not guarantee a refund.
3. Cancellation Fees
Approved participant cancellations may be subject to a $300 cancellation fee, in addition to the applicable non-refundable enrollment deposit. Any approved refund will be calculated after the applicable deposit and cancellation fee have been deducted.
4. Transfers & Rescheduling
Participants may request one transfer to a future program date, subject to availability and approval by ReglaSOUL. Transfers are generally considered for circumstances beyond the participant’s reasonable control.
A $300 transfer fee may apply, and the original enrollment deposit remains non-refundable. A transfer does not create a new cancellation or refund period. Once a transfer has been used, any subsequent participant-initiated cancellation is non-refundable.
5. Travel & Attendance
Participants are responsible for securing all required passports, visas, flights, travel insurance, and other travel arrangements. Flight cancellations, missed flights, delays, visa or passport issues, changes in personal circumstances, or inability to travel to Cuba do not automatically qualify for a refund or transfer.
Failure to attend, late arrival, early departure, or voluntary withdrawal after the program has begun does not qualify for an automatic refund.
6. Cancellation or Modification by ReglaSOUL
In the unlikely event that ReglaSOUL must cancel a program or make significant changes due to circumstances within its control or other circumstances that prevent the program from being delivered as substantially described, participants will be notified as soon as reasonably possible.
If ReglaSOUL cancels the program and is unable to provide the program as advertised, participants may choose to transfer their enrollment to a rescheduled program or receive a refund of eligible program fees paid, excluding the non-refundable enrollment deposit, unless otherwise required by applicable law.
Reasonable changes to schedules, activities, instructors, accommodations, transportation, locations, or other program components do not automatically qualify for a refund when the program continues substantially as described.
7. Force Majeure
If a program is prevented, interrupted, or materially affected by circumstances beyond ReglaSOUL’s reasonable control, including natural disasters, hurricanes, earthquakes, public health emergencies, political unrest, government restrictions, transportation disruptions, infrastructure failures, or significant changes affecting travel to or within Cuba, ReglaSOUL will assess the circumstances and determine appropriate options on a case-by-case basis.
Options may include rescheduling, transferring enrollment to a future program, issuing a partial refund, or providing another reasonable alternative.
Refunds are not guaranteed in force majeure circumstances.
8. Refund Requests
All cancellation and refund requests must be submitted by email to payments@reglasoul.com with the participant’s full name, program details, reason for cancellation, and supporting documentation when applicable.
The cancellation date is the date ReglaSOUL receives the official written request by email. Requests submitted through WhatsApp, Instagram, Facebook, or other social media platforms will not be considered official cancellation requests.
Approved refunds are generally processed within 7–10 business days following the final determination.
9. Policy Acknowledgment
By submitting an application, accepting a place, or making an enrollment payment, participants acknowledge that they have read, understood, and agree to ReglaSOUL’s Payment and Cancellation Policy.
